We collect information needed to run a sync licensing, catalog, outreach, and music discovery platform, including:
- Account details such as name, email address, password credentials, role, company or agency affiliation, and profile information.
- Music catalog information such as track titles, artist names, genres, moods, lyrics, metadata, file references, playlist membership, artwork, and enrichment results.
- Connected cloud storage data such as provider name, selected folders, file identifiers, OAuth tokens, refresh tokens, sync status, and file-change history.
- Briefs, playlist links, pitch pages, upload links, licensing offers, contracts, contact lists, email campaign content, and recipient engagement data.
- Usage data such as sign-ins, searches, plays, clicks, opens, downloads, exports, errors, device/browser information, IP address, and security logs.
- Billing and subscription information processed through Stripe. We do not store full payment card numbers on our servers.
How We Use Information
We use information to provide, secure, improve, and support the service. This includes:
- Creating accounts, authenticating users, managing subscriptions, and enforcing role-based access.
- Syncing music files from connected cloud storage and organizing catalog records.
- Running AI enrichment to generate searchable metadata, lyrics, moods, genres, instrumentation, vocal attributes, audio segments, and related analysis.
- Powering search, playlists, briefs, pitch pages, branded upload pages, CRM-style outreach, email campaigns, and reporting.
- Showing artists aggregate performance metrics for their own tracks while limiting access to confidential recipient details unless the account role permits it.
- Detecting abuse, debugging failures, measuring product performance, and maintaining platform security.
Music Files and Cloud Storage
SoSyncable is designed to work with user-connected cloud providers such as Dropbox, Google Drive, OneDrive, SharePoint, Teams, and Azure Blob Storage. Depending on how your account is configured, the platform may read, stream, upload, rename, move, delete, or create share links for files in the folders you connect. We use cloud access only to provide the features you choose to use.
AI Processing
Music files, lyrics, metadata, briefs, and related catalog information may be sent to AI and media-processing services to generate enrichment results. AI output may be inaccurate and should be reviewed by the account owner before it is used for licensing, legal, or business decisions.
How We Share Information
We share information only as needed to provide the service, comply with law, or protect the platform. This may include:
- Cloud storage providers when connecting, syncing, streaming, uploading, or managing files.
- Payment processors, email providers, hosting providers, logging systems, analytics tools, AI processors, and other service providers.
- Agency owners, white-label partners, supervisors, artists, and collaborators according to the permissions and workflows in the product.
- Legal, compliance, security, or fraud-prevention recipients when required or appropriate.
White-Label Portals
If you use SoSyncable through an agency-branded or white-label domain, that agency may control branding, client-facing settings, roster workflows, upload links, campaign activity, and certain account relationships. The platform provider still processes data to operate and support the service.
Cookies and Tracking
We use cookies and similar technologies for login sessions, security, preferences, analytics, playlist tracking, email campaign reporting, and product diagnostics. Some tracking is required for core features such as personalized playlist links, play counts, opens, clicks, downloads, and campaign reports.
Data Retention
We keep information for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain audit logs, and preserve legitimate business records. You may disconnect a cloud provider or request account assistance by contacting support.
Security
We use reasonable administrative, technical, and organizational safeguards to protect information. No online service can guarantee absolute security, so users should protect their credentials and only connect folders they are authorized to manage.
Your Choices
- You can update profile and account information from your account settings.
- You can disconnect cloud storage integrations or change selected folders where the product provides those controls.
- You can unsubscribe from marketing emails using the unsubscribe options provided in those messages.
- You can contact support for access, correction, deletion, or account questions.
Children
The service is intended for professional music, licensing, and business users. It is not directed to children under 13.
